This part-time role requires flexible working hours, including evenings and weekends, and is perfectly suited to someone who has excellent inter-personal communication skills and enjoys being part of a dynamic team.

Based at Kingston Park Stadium in Newcastle upon Tyne, the job will involve working closely with our backroom staff to support delivery, co-ordinate programmes and communicate plans.

**Title:** Academy administrator.

**Reports to:** Academy manager.

**Remuneration:** £9.50 per hour (10 hours per week).

**Start Date:** June 2022.

**Purpose of role:** To provide office-based support to the academy in line with the club’s vision, with a focus on administrative duties and holistic support.

**Key responsibilities:**

* Arrange academy fixtures, including liaison with match officials, opponents, governing body representatives and internal members of staff as well as sharing fixture details and itineraries with players and their parents.

* Provide support with administrative, logistical, financial and operational tasks, including booking meetings and events, completing player registration forms and maintaining player databases in line with GDPR protocols.

* Oversee the academy calendar, communicating programme updates to players, their parents and relevant stakeholders, including sending out feedback reports and collating surveys from time to time.

* Act as academy safeguarding lead, ensuring that all members of staff have full DBS clearance and relevant qualifications and certification to complete their roles.

* Act as academy welfare lead, providing holistic support to players and staff, signposting those in need of additional support and reporting any concerns through the appropriate channels.

* Act as human resources lead, maintaining staff appraisal records as well as supporting recruitment processes for staff and interns from time to time.

* Act as the first point of contact for any academy players living away from home, including the identification and maintenance of ‘host families’ for ACE players and helping source appropriate accommodation for senior academy players.

* Manage all academy kit, including co-ordinating the washing of match strips, organising match-day kit bags, co-ordinating the provision of player training kit and checking equipment for wear and tear.

* Ensure that all RFU and PRL audit requirements are completed on time each year and that PGB minimum standards are met to maintain our academy licence.

* Complete other reasonable administrative duties from time to time as requested by the academy manager.

**The successful candidate must have:**

* Experience working as an administrator, clerical assistant or personal assistant.

* Flexibility to work unsociable hours, including evenings and weekends.

* Excellent inter-personal skills and ability to work independently and as part of a multi-disciplinary team.

* Organisational skills to maximise use of time during the working day to complete tasks.

* Ability to act in a professional, accountable and legally responsible manner at all times.

* Enhanced DBS clearance and full driving licence with access to a car or transport.

**Key performance indicators:**

* Efficiency of service provided to academy staff and the academy programme.

* Up-to-date record keeping and development of sustainable practices across the academy network.

* Adherence to RFU / PRL regulations and PGB minimum standards to maintain the academy licence.

* Feedback from players / stakeholders on the quality of service provided.
